Free business proposal template

Need to send a proposal today? Use the template below. It follows the structure that closes deals — a short intro, a clear scope, the investment, the timeline and an expiry date. Copy it, adapt it, or generate a professional link version in two minutes.

The template

Fill in the brackets and remove anything that does not apply.

  1. Introduction."Hi [client], thanks for the chance to work on [project]. Here is how I would approach it and what it includes."
  2. Objective (one line). The result the client wants — shows you understood the problem, not just the task.
  3. Scope of work (a list).Exactly what is included, item by item. Add a short "Not included" line for anything out of scope.
  4. Investment. The total plus payment terms (for example, 50% on approval, 50% on delivery).
  5. Timeline. In days or by milestones, counted from approval — not from the first conversation.
  6. Validity."This proposal is valid until [date]." 7 to 15 days is standard and creates healthy urgency.

Why a template beats a chat message

A quote pasted into a chat competes on price. A structured proposal — with a defined scope, clear terms and an expiry date — competes on value and protects you from endless scope creep. The same words look far more professional on a clean page than in a message thread.

Generate it instead of formatting it

Formatting a document by hand is slow and easy to get wrong (the classic mistake: another client's name left in the file). PropostaPro turns this template into a professional, shareable link in a 2-minute form — no signup. Create your proposal. New here? Start with how to write a business proposal.
